How do I submit to ICQI?

Please go to the Ex Ordo submission portal to set up  your account and submit your proposal.

https://qi2027.exordo.com/

What do I need to submit for ICQI?

Each proposal should include:

  • Proposal title
  • Names, affiliations, email addresses, and countries for all authors
  • Abstract (200 words) and optional references (200 words)
  • 3-5 Keywords
How long are sessions?

Paper and panel sessions are 90 minutes. Each presentation should be between 15-18 minutes including discussion. We strongly suggest reserving at least 5 minutes for questions and discussion.

What are the responsibilities of the chair?

A chair is responsible for brief introductions, timekeeping, and directing the Q&A session. We support the Q&A session as a means to bring the presentations together and to discuss the themes across the presentations.

How do I know if I successfully submitted?

You will receive an email after you have submitted your proposal to let you know it has been received. Be aware that there is a short time delay in case you need to make corrections.

What types of special requests can I make?

If you have a special request, please email icqi@qualitativeinquiry.org

Special requests are available for people who need wheelchair access, sign language interpreters, or scheduling accommodations due to religious practices. Special requests are not for requesting A/V equipment or preference for scheduling your presentation. Please plan to attend the full Congress.

What if I need to edit my abstract or account before it is reviewed?

You will be able to edit your abstract or account information by logging back in.

What exactly is my affiliation?

In most cases, it will be your university and/or your department. We use affiliation for those who work for non-profit organizations, school boards and institutes. Independent scholars and artists can note their own specific affiliations.

May I do a performance piece?

You may, but you must do it within your allotted time slot of 15-18 minutes. We do not provide a stage, a microphone, or audio/visual equipment.

How do I submit a proposal for a Special Interest Group Session (SIG)?

SIGs will organize their sessions in one of two ways: through a dedicated proposal track in Ex Ordo or through a process managed directly by the SIG. Before submitting a proposal, please review the list of SIGs on the IAQI website, and their submission arrangements to determine which process applies. Please do not submit the same proposal through both routes.

Please note: If you submit your proposal to a SIG track, it will be reviewed and scheduled by the SIG chair/s for that track for Friday’s SIG sessions. If you want to submit to the General Congress and indicate an affiliation with a SIG, please select the General Congress track, and then add the name of the SIG track as a keyword.

SIGs with a Track in Ex Ordo

Some SIGs will have a dedicated track in the ICQI 2027 Ex Ordo submission portal. To submit a proposal to one of these SIGs:

  1. Begin a new submission in the Ex Ordo portal.
  2. Select the appropriate SIG track from the list of conference tracks.
  3. Follow the instructions in the portal and provide all required information.
  4. Submit the proposal by the conference proposal deadline.

Please select the SIG track carefully. A proposal intended for a SIG should be submitted directly to that SIG’s track rather than to a general conference track. Proposals submitted through a SIG track will be reviewed by the appropriate SIG representatives. Decisions and other communications concerning the proposal will be sent through Ex Ordo.

SIGs Organizing Their Programs Outside Ex Ordo

Some SIGs will organize their Friday sessions outside the Ex Ordo proposal process. These SIGs may issue their own call for proposals, accept proposals directly, or develop their programs through invited sessions.

Do not submit a proposal for one of these SIGs through the Ex Ordo conference portal. Instead, consult the SIG information provided on the ICQI website for instructions and contact details. Questions about participation, proposal requirements, deadlines, or selection decisions should be directed to the appropriate SIG chair/s.

Once the SIG’s program has been finalized, the SIG organizers will provide the session information to the planning committee for ICQI 2027 for inclusion in the conference schedule and mobile app. Presenters should not enter an externally organized SIG session into Ex Ordo unless instructed to do so.

When is the deadline to submit?

The deadline to submit is December 1. In the past, we have re-opened the submission system on a rolling basis. A decision whether or not we will do that this year has yet to be determined. Thus, we strongly encourage you to submit before the deadline.

When will I hear back about my submission?

Provided that you submit by the December 1 deadline, you will hear from us by December 18 with a decision. If we open up submission on a rolling basis afterwards, it can take up to four weeks to receive a decision.

Do you index abstracts online?

Yes, except for abstracts submitted after March 15. No exceptions.

Why do I not see my submission in the preliminary program?

You may have submitted to a Special Interest Group (SIG). The preliminary program is for the General Congress only. SIGs are organized by chairs other than those involved in planning the program for the ICQI. While a crucial aspect of the ICQI, SIGs operate with autonomy in relation to ICQI. You need to contact each respective organizer about your submission.

Another possible reason is that you submitted after the deadline. Therefore, it should be included in the following preliminary program or the final program.

What if I need a visa letter or a letter of acceptance

If you need a visa letter or a letter of acceptance, please email this request to icqi@qualitativeinquiry.org. Each letter is assigned to one person. If your co-author needs a visa letter as well, it is critical that their information is included as co-author of the proposal. If you need a visa letter or a letter of acceptance, you will need to submit as early as possible. As the congress gets closer, we are not always able to generate those letters in a timely fashion. Do not wait until the last second to review your visa letter and contact us immediately if there is an issue. Failure to do so may result in a delay to obtain your visa letter in time to obtain a visa from a U.S. consulate.

Your visa letter and letter of acceptance will use your personal information that you input into your Ex Ordo account. Any errors will be reflected in your visa letter and letter of acceptance. Therefore, review your personal contact information to ensure its accuracy. ICQI will not be held responsible for errors on your part in your visa letter.

What Wi-Fi, AV equipment, and business services are available?

Wi-Fi access is free throughout the conference facility.

Conference rooms have a table top or standing podium with a wired microphone, a flip chart with paper or one whiteboard with markers and eraser, a LCD projector and screen. Please bring an adaptor to connect your laptop to the projector as necessary.

There is a self-service Business Center located on the first floor, with workstations, computers, and a printer.
